The basic objective of the Profound Events (PFE) Ltd. is that the LUTON HOO Meeting/conference brings together professionals, academicians and experts from different parts of the country and abroad to exchange knowledge and ideas. This will provide an in-depth analysis of subjects and update the knowledge of the participants from academic/research results. The guidelines aim at bringing in transparency, clarity and uniformity to the attendees of the conference.

Terms and Conditions

The following PROFOUND EVENTS (PFE) LTD. Registration Terms & Conditions (the “Terms & Conditions”) apply to all PROFOUND EVENTS (PFE) LTD. events. Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Should you not wish to accept the Terms & Conditions you should not register. Submission of a registration booking is regarded as affirmation of your acceptance of the latest Terms & Conditions.

Your booking, is subject to the latest Terms & Conditions to the exclusion of all other Terms and Conditions (including any terms or conditions which you purport to apply under any purchase order, confirmation of order, specification or other document whatsoever). A party agrees to the latest Terms and Conditions by booking to attend, or benefit from, the event. The Profound Events (PFE) Ltd. reserves the right to change, amend, add or remove any of the Terms & Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. The latest Terms & Conditions apply to ALL event participants (attendees, speakers, sponsors, exhibitors).

General

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of PROFOUND EVENTS (PFE) LTD. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.

The content of any associated website or material is for your general information and use only. It is subjected to change without notice.

Once registered towards the conference, Profound Events (PFE) Ltd. can use the logos and affiliation of the speakers/ exhibitor/sponsors/media partners in the promotional materials and website.

Profound Events (PFE) Ltd. has the right to cancellation of participation at any point due to misbehaviour, and there will be no refund for the same.

Delegates and Attendees (including Media) agree not to bring the event or the event organisers (including the host venue), into disrepute, or disparage the aims of the event or the businesses or organisations of the attendees and organisers.

If any such deliberate damage or mischief is deemed by Profound Events (PFE) Ltd. to have been unreasonably perpetrated, the offending party(ies) agree to be held fully liable and will compensate in accordance to the deed, including a written apology/retraction where deemed appropriate.

Insurance

It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the conference. Profound Events (PFE) Ltd. cannot be held liable for any loss, liability or damage to personal property or person.

Press/Media

Press permission must be obtained from Profound Events (PFE) Ltd. Organizing Committee prior to the event. The press will not quote speakers or delegates unless they have obtained their approval in writing. This conference is not associated with any commercial meeting company, external to the Profound Events (PFE) LTD.

Usage of photographic and video material taken at PROFOUND EVENTS (PFE) LTD. events

To comply with global data privacy laws, PROFOUND EVENTS (PFE) LTD. imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums). An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

PROFOUND EVENTS (PFE) LTD. may hire professional service providers (photo/video/streaming/audio) to document and display the event experience. PROFOUND EVENTS (PFE) LTD. may also use social media (e.g. Twitter) to: (i) post real-time photos and videos to its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue. Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, sponsor, third party, or PROFOUND EVENTS (PFE) LTD. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights. In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.

By attending the event, you acknowledge and agree as follows: (a) PROFOUND EVENTS (PFE) LTD. may edit and use footage it captures at the event for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of mobile recording devices in today’s world, PROFOUND EVENTS (PFE) LTD. disclaims all liability for the capture of your image in any multimedia format by other attendees at the event.

Cancellation Policy

If Profound Events (PFE) Ltd. cancels this event for any reason, you will receive a credit for 100% of the registration fee paid. You may use this credit for another Profound Events (PFE) Ltd. event which must occur within one year from the date of cancellation.

Postponement

If Profound Events (PFE) Ltd. postpones an event for any reason and you are unable or unwilling to attend on rescheduled dates, you will receive a credit for 100% of the registration fee paid. You may use this credit for another Profound Events (PFE) Ltd. event which must occur within one year from the date of postponement

Transfer of registration

All fully paid registrations are transferable to other persons from the same organization, if registered person is unable to attend the event. Transfers must be made by the registered person in writing to conference email id: info@profound-events.com

Details must be included the full name of replacement person, their title, contact phone number and email address. All other registration details will be assigned to the new person unless otherwise specified.

Registration can be transferred to one conference to another conference of Profound Events (PFE) Ltd. (within a 12 month limit) if the person is unable to attend the conference.

However, Registration cannot be transferred if it is intimated within 15 days of respective conference.

The transferred registrations will not be eligible for Refund.

Refund Policy

If the registrant is unable to attend, and is not in a position to transfer his/her participation to another person or event, then the following refund arrangements apply:

Keeping in view of advance costs towards Venue, Printing, Shipping, Hotels and other overheads, we have a Refund Policy as follows –

Before 60 days of the conference: Eligible for Full Refund less £100 service Fee

Within 60-30 days of Conference: Eligible for 50% of payment Refund

Within 30 days of Conference: Not eligible for Refund

Accommodation Cancellation Policy

Accommodation Providers (Hotels) have their own cancellation policies, and they generally apply when cancellations are made less than 30 days prior to arrival. Please contact your accommodation as soon as possible, if cancelling.

Profound Events (PFE) Ltd. is not liable for accommodation cancellation costs incurred by the delegate, even if Profound Events (PFE) Ltd. has assisted in arranging the accommodation. Please ensure you are fully aware of any non-refundable deposits, prior to any cancellation.

Damages & Breakages

If any damage or breakages occur, Profound Events (PFE) Ltd. reserves the right to make a reasonable charge for the repair or replacement of damaged or broken items. If anything is damaged to the point that it is rendered unfit for use, you will be obliged to pay compensation to Profound Events (PFE) Ltd. for the lost revenues whilst the facility is out of use, plus the cost of repair and replacement at the current market value.

Nuisance

Delegates are expected to behave in a reasonable manner to allow other event users to have uninterrupted access/usage. Profound Events (PFE) Ltd. reserves the right to eject or exclude any delegate which Profound Events (PFE) Ltd. considers being objectionable.

Internet Usage

Should Profound Events (PFE) Ltd. arrange Internet access at the venue, or for the event, it will be on a best efforts basis:-

Profound Events (PFE) Ltd. will not accept responsibility for any virus or hacking following the use of the internet and we recommend, that if utilising your own equipment, that sufficient software protection is installed.

Profound Events (PFE) Ltd. will endeavour to ensure uninterrupted access to the internet at all times, but cannot guarantee that access to the internet will be uninterrupted through either a component/hardware fault or by the service provider.

During the event, delegates agree to use any wireless broadband and internet facility in a responsible manner and not for illegal purposes or those which may cause offence, for example pornographic site, extremist sites etc. Profound Events (PFE) Ltd. reserves the right to pass on any records to the authorities if requested to do so.

Non-discrimination policy

PROFOUND EVENTS (PFE) LTD. prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, colour, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.

What to do if you witness or are subjected to unacceptable behaviour

Participants should report any behaviour inconsistent with legislated social norms to onsite event staff. Event staff will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event. We value your attendance.

How we will use your information

PROFOUND EVENTS (PFE) LTD. is committed to data privacy and protecting your personal information. Information on how PROFOUND EVENTS (PFE) LTD. collects, processes, and uses your data is included in the PROFOUND EVENTS (PFE) LTD. policy which is hereby incorporated into these Terms & Conditions. Additionally, by submitting your email address during the event registration process, you agree that PROFOUND EVENTS (PFE) LTD. and its event partners may send you event-related information. A valid email address is required for all registrations.

PROFOUND EVENTS (PFE) LTD. uses the personal data you provide in this registration for administering your participation in this event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.

PROFOUND EVENTS (PFE) LTD. may disclose your personal data to third party service providers engaged by PROFOUND EVENTS (PFE) LTD. to assist in the conduct of the event (e.g. housing bureau, mobile application provider). Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to PROFOUND EVENTS (PFE) LTD. may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. Except as described herein, PROFOUND EVENTS (PFE) LTD. will not disclose your personal data to any other third party without your consent except where required to do so by law.
